Help & guide

How to use 3EGates

Everything you need to get started, in plain language. If you get stuck, message us and a real person will help.

Getting started

  1. Start a free trial. No credit card needed.
  2. Open the email we send you and click the link to confirm your address. Check your spam folder if it doesn't arrive within a few minutes.
  3. Sign in. You land on your dashboard.
  4. Open Try it and run a few examples. A demo AI tool asks to do something and you see exactly how 3EGates answers. Examples don't count toward your plan.
  5. When you're ready, connect your own AI tool (see Connecting your AI tools).

Your dashboard

  • Home: what needs your attention and your next steps.
  • Try it: ready-made examples to see how 3EGates answers.
  • Activity: every action your AI tools asked about, with the answer and a plain explanation.
  • Reviews: actions waiting for a person to approve or reject.
  • Connections: your connected AI tools, what each may do, and your pre-approved limits.
  • Usage & plan: how much you've used this month and what your plan includes.
  • Support: chat with our team.
  • Settings: your password and email preferences.

What the answers mean

Before an AI tool acts, it asks 3EGates. Each action gets one of these answers, with a short reason in plain words. A request with several steps gets an answer for each step. Nothing is approved as a bundle.

Approved

The action can go ahead.

Approved with limits

It can go ahead, but only within the limits shown, for example in smaller batches.

Needs your review

Paused until a person approves or rejects it. You'll find it under Reviews.

Blocked

Stopped. It will not run.

Reduced to safe mode

Stopped, and the tool keeps working with one ability reduced (for example it can prepare drafts but not send) until someone restores it.

Locked

Stopped, and the source is placed under protection until our team helps you restore it safely.

Reviewing an action

  1. Open Reviews. Each item says what the tool wants to do and why it was paused.
  2. Choose Approve or Reject. You can add a short note, such as who decided and why. It is saved with the decision.
  3. After you approve, your tool can send the action again and it goes ahead. The tool that asked can never approve its own request.

Some very important actions, such as large payments, need two different people to approve.

Some reviews also show an independent AI second opinion. It is advice only: it can't approve or reject anything, and you always decide.

Your team

  • Open Team to invite people by email. They get a link to choose their own password; it works once and expires after 7 days.
  • Owner: everything, including connections, limits, team and plan. Approver: approves or rejects reviews. Viewer: can look, not change.
  • An owner can change someone's role or remove them at any time. Removed people are signed out at once; their earlier approvals stay on record.

Connecting your AI tools

  1. Open Connections and choose Connect an AI tool.
  2. Give it a name you'll recognise (for example "Customer support assistant") and a short system name.
  3. Choose what it may do and in which of your systems. Start small. You can change this later.
  4. Copy the key that appears. For your safety it is shown only once. Give it to the person who set up the tool.
  5. Your technical contact connects the tool with that key. We share the integration guide with them directly. Just ask in Support.

You can turn a connection off at any time. It stops working immediately.

Which AI can I connect? 3EGates is designed around a model- and vendor-independent governance architecture. Tools built on Claude (Anthropic), on OpenAI models, on models you run yourself that follow the OpenAI format, and plain automations with no AI at all connect the same way and go through the same checks. Connections shows which of these have been tested and which have been checked against the real service. 3EGates can only decide on actions your tool actually sends to it.

Pre-approved limits

Pre-approved limits let routine work run without asking you every time. Inside the limits a tool works on its own. Outside them it asks first.

  • Set what it may do on its own, in which systems, how many items one action may affect, how many actions per hour, and the most money per action.
  • Making limits tighter applies at once.
  • Making limits wider asks for your password first.

Usage and your plan

Usage & plan shows how many actions were checked this month, what's left in your plan and how many AI tools are active. It also shows how much work went ahead without interruptions. Try it examples are never counted. See Plans for what each plan includes.

  • Choose a plan in Usage & plan and pay by card (renews monthly) or by Interac e-Transfer (we send an invoice with a reference number). Only an account owner can change the plan or payment.
  • Card plans: use Manage card, invoices or cancel to update your card, download invoices or cancel. Your plan stays active until the end of the period you paid for.
  • Tax is calculated for your location and shown before you pay.
  • Refunds: see Cancellations and refunds. Enterprise and sovereign plans are arranged with our team.

Your account and security

  • Change your password in Settings. Passwords need at least 12 characters.
  • Forgot it? Use Reset password. The link works once and expires after 30 minutes.
  • After several wrong passwords, sign-in pauses for a while to protect your account.
  • Turn on two-step sign-in in Settings: after your password you also enter a code from an authenticator app. You get ten one-time recovery codes in case you lose your phone, and an owner can turn it off for a team member who did.
  • We only send the emails you need (confirmations, password resets, security alerts). Product news is optional and you can switch it off in Settings.

Common questions

Will this slow my AI tools down?

Routine work inside your limits goes ahead straight away. People are only asked about what genuinely needs them.

What if 3EGates can't be reached?

Your tools should treat the action as not approved and try again later. Nothing is approved by default.

Does 3EGates look up facts for me?

3EGates decides based on the details your AI tools and connected systems provide, such as the amount, the destination or whether consent is on record. The more your systems tell it, the better its answers. In Try it, these details are sample details.

Who can see my information?

Only people in your organization who sign in to your account, and our support team when helping you. Other customers never see your activity. Read our Privacy Policy.

Can I get help setting it up?

Yes. Chat with us in Support, contact us, or see our implementation services.
